What it is

When a company needs a new system

Many companies start with spreadsheets or a basic package, then find that month-end takes too long and reports need manual work.

A new accounting system or ERP fixes that only if it is set up for the way the business runs. We help you choose it and set it up, so your team can use it from the first month.

Questions

Common questions about accounting system setup

Answers about the service, the work involved and what to prepare. Open a question to read more.

What is the difference between an accounting system and an ERP?

An accounting system records transactions and produces the ledgers, reconciliations and financial reports. An ERP adds other parts of the business in the same system, such as inventory, purchasing, sales, payroll or projects. A smaller company often needs only accounting software; an ERP suits businesses whose operations and finance need to share the same data.

What is a chart of accounts?

A chart of accounts is the list of accounts the business posts transactions to, grouped into assets, liabilities, equity, income and expenses. Set up well, it gives management the reports it wants and maps cleanly to the financial statements your auditor reviews and the figures needed for the tax return. Set up badly, every report needs manual work.

How is data moved from an old accounting system?

We agree what moves across: usually opening balances, customer and supplier details, open invoices and, if needed, past transactions. The data is cleaned and mapped to the new chart of accounts, then loaded and checked. Balances in the new system are reconciled to the old one before your team stops using it.

Can a new system produce the reports our auditor needs?

Yes, if it is set up with that in mind. We build the chart of accounts and reports so the trial balance leads straight to the financial statements, with the detail an auditor asks for, such as aged balances and fixed asset records. That also makes the figures for the corporate income tax return easier to prepare.

Do you train our staff on the new system?

Yes. Training is part of the setup. We show the people who will use the system how to enter transactions, run reconciliations and produce the reports set up for them, using your own chart of accounts and data. We agree in advance who is trained and on which tasks, so each person learns the work they will do.
